PURPOSE:

The University has developed an environment and a set of policies that encourages the development of a professional relationship amongst all colleagues.  This requires a culture of mutual respect, personal responsibility and a commitment to the highest standards of professional engagement.

The Rector’s Office consists of the Rector and a set of Deputy Rectors who are members of the Executive Team, the Executive Team also includes the Deans and the Academic Registrar.  The Rector's Office has a Professional and Administrative support. This post is responsible for the administrative support systems, policy and processes.  The Executive Team is chaired by the Rector and it is the main Policy making body for Management and non-Academic issues.  The post is responsible for the organisation of the Executive Team including the support for the preparation of papers, the organisation of Executive Team meetings and related support meetings, including minute taking and monitoring of proposed actions.

 

PRINCIPLE ACCOUNTABILITIES:

  • To manage the Professional Administration support and processes to the Rector's Office.
  • To ensure that all systems, documentation processes, administrative and management processes are aligned to the University’s polices and are 'fit for purpose'
  • To be responsible for management of the administrative staff assigned to the Rector’s Office under the Professional Administration and Support function, including the workload, working arrangements, appraisal, etc.
  • To prepare where appropriate protocols and policies relating to the operation and development of the Rector’s office
  • To prepare reports on the performance of the Rector’s Office
  • To manage the Executive Team meetings, including the calendar of policy review, production of reports as well as servicing the meetings
  • To be responsible for the oversight of the preparation of the papers and the presentation of papers by Executive Team members for Executive Team meetings
  • To support the Executive Team members in the preparation of papers, including the liaison with departments across the university.
  • To direct the gathering of intelligence for the development of policy-making and review, as directed by a member of executive.
  • To organise and support working groups and related policy making forums for the Executive Team.
  • To monitor outcomes and to collect feedback on the implementation of the Executive Policy
  • To disseminate the outcomes of Executive across the University
  • To support the Executive Team meetings, including taking minutes, preparing action agendas and monitoring of actions proposed.
  • To be the administrative liaison Officer for the Partnerships with the University of Westminster
  • To monitor the actions agreed through Partnership structure and prepare appropriate reports on progress
  • To maintain all records associated with the Partnership and to identify actions to be reported.
  • To organise the arrangements for all visits to and from each partner, including all logistics
  • To manage the Rector’s Office, including the management of the administrative support staff.
  • To ensure the delivery of administrative support to the Rector and members of the Rector’s office, including the Deputy Rectors
  • Any other appropriate duties as directed by the Rector 

Qualifications

  • Undergraduate degree and preferably a Master’s degree
  • English language proficiency to a level equivalent of an Academic member of staff

Experience

  • A minimum of 3 years of Professional experience of Administrative functions
  • 3 years experience of working with Senior Managers
  • Experience of higher education institution or similar organisation
  • Experience of managing people
